How to Transcribe Google Meet: Steps, Limits and Fallbacks

Google Meet has a built-in transcript, but only on certain Workspace plans and in eight languages. Here are the exact steps, where the file goes, and what to do when the button is missing.

To transcribe a Google Meet call, join the meeting, click Meeting tools at the bottom right, choose Transcribe, then click Start transcription and confirm with Start. That works only if your Google Workspace plan includes transcripts and your Drive has enough free storage. This guide covers how to transcribe Google Meet with the built-in tool, where the file ends up, and what to do on a free account or in a language Google does not support.

How to transcribe Google Meet: built-in feature or another tool

Use Google's built-in transcript if your plan includes it and your meeting is in one of its eight languages. Otherwise, use a separate tool that records in the browser or transcribes a file you upload.

Which accounts can use built-in Google Meet transcripts

Native transcripts are available on specific paid plans, not on every Google account. According to Google's Meet help page, the eligible editions are:

  • Business Standard
  • Business Plus
  • Enterprise Starter
  • Enterprise Standard
  • Enterprise Plus
  • Teaching and Learning Upgrade
  • Education Plus
  • Workspace Individual

Free personal Gmail accounts and lower Workspace tiers have no native transcript button, as this Google Meet transcript guide also notes.

Storage is a hidden requirement

Plan eligibility is not enough. Google says there must be sufficient Drive storage in both the host's Drive and the Workspace organization's Drive. If either is full, the transcript can fail, and people often blame the wrong thing. If a transcript is missing after a call on an eligible plan, check storage in both places before anything else.

Step-by-step: start a transcript on desktop and Android

Starting a transcript takes four clicks on desktop and three taps on Android. Do it at the start of the call, because the transcript only covers the part of the meeting after it begins.

On desktop

  1. Join the Google Meet call.
  2. Click Meeting tools at the bottom right of the screen.
  3. Select Transcribe.
  4. Click Start transcription.
  5. Confirm by clicking Start.

Some older guides send you to an Activities menu and then Transcripts. The current path in Google's instructions is Meeting tools, then Transcribe. If your screen does not match an older tutorial, that is probably why.

On Android

According to Google's Android instructions, open the Meet app during the call and tap More tools, then Transcribe, then Start.

Stopping and recording are separate

You can stop the transcript from the same menu. Transcription and recording are independent switches. You can run a transcript without recording the meeting, and starting a recording does not start a transcript. If you need both, turn on both. If you only need text and would rather not keep video, you can skip the recording.

Where to find your Google Meet transcript after the call

The transcript is saved to the meeting organizer's Google Drive. Look in the folder named Google Meet, which contains a subfolder for each meeting.

Google also sends an automated email with a link to the host, the co-hosts and the person who started the transcript. If you were a regular participant and did not start it, you may not get that email. Ask the organizer to share the file.

Large meetings have tighter access

If a meeting has more than 200 invitees from the host's organization, access to the transcript attached to the calendar event is limited to the host, the co-hosts and the person who turned it on. For an all-hands call, plan to share the file yourself afterward.

What the native transcript does and does not give you

Google's transcript is a plain record of what was said. It does not analyze the meeting.

Format

The output is raw text with timestamps and speaker tags, saved in Google Docs format. According to this comparison, it has no structured action items and no AI summary. That is fine for searching or quoting a conversation. It is slow if you need to turn a one-hour call into minutes and a task list.

Languages

The native feature officially supports eight languages: English, French, German, Italian, Japanese, Korean, Portuguese and Spanish.

That excludes a lot of the people who read this blog. Burmese, Vietnamese, Thai, Yoruba and Hausa are not on the list. Meetings that switch between a local language and English, which is normal in Yangon, Lagos or Ho Chi Minh City, are an even harder case. Why you may not see the Transcribe option

If the button is missing, work through these checks in order.

  1. Check the plan. Is the account on one of the eligible editions listed above? A personal Gmail account will never show the option.
  2. Check who you are in the call. If you joined as a participant, ask the host or organizer to start the transcript. Permissions in your organization may also decide who can start one.
  3. Check Drive storage. Both the host's Drive and the organization's Drive need space.
  4. Check the menu path. Use Meeting tools, then Transcribe, not an older Activities menu from an out-of-date tutorial.
  5. Check the language. If your meeting is in a language outside the eight supported ones, the native feature is not the right tool even if the button is present.

If all five check out and it still does not appear, contact your Workspace admin. We cannot tell from outside your organization whether a setting has been turned off.

How to transcribe Google Meet on a free account or in another language

If you have no native option, you have two practical routes: record the call in your browser with a separate tool, or transcribe a file after the call. Neither depends on your Google plan.

Option 1: record in the browser

Some tools capture the meeting in your browser without adding a bot to the call. The advantage is that nobody sees an extra participant join. We cover the trade-offs in Meeting Transcription Without Bot: How It Works and What to Check.

Option 2: upload a recording or audio file

If you already have an audio or video file from the meeting, upload it to a transcription tool after the call. This works for a call someone else hosted, as long as you have the file. It also works for older meetings you never transcribed.

What to check before you choose a tool

  • Language coverage. Does it support the language your team actually speaks, including mixed speech? Do not trust a long list of "supported languages" without testing on your own audio.
  • Output. Do you get only a transcript, or also a summary, decisions and action items?

Frequently asked questions

Why don't I see the Transcribe option in Google Meet?

The most common reason is the account. Native transcripts are limited to certain Google Workspace plans, and free personal Gmail accounts and lower Workspace tiers have no transcript button. If your plan is eligible, check that you are using the current Meeting tools menu, and ask the host if you are not the one who organized the call.

Can you transcribe Google Meet on a free personal Gmail account?

Not with Google's built-in feature, because personal free accounts have no native transcript button. You can use a separate tool that records in your browser or transcribes an uploaded audio or video file instead.

Where is the Google Meet transcript file saved after the call?
