Transcribe WhatsApp Voice Notes to Text Free: 5 Methods

WhatsApp can transcribe voice notes on your phone for free, but only in one language and with no summary. Here are the built-in setting, free browser tools, and what to do with mixed-language audio.

To transcribe WhatsApp voice note to text free, either switch on WhatsApp's built-in voice message transcripts or export the audio and upload it to a free transcription tool. The built-in option is the quickest, but it handles one language at a time and gives you plain text only. Free external tools cover longer files, desktop use and more languages.

Below are the exact steps for each method, the limits that catch people out, and what to do when a voice note switches between languages mid-sentence.

Method 1: Transcribe WhatsApp Voice Note to Text Free on Your Phone

The quickest free route is WhatsApp's own transcript feature, which runs on your handset and works on both iPhone and Android. According to Noterai's guide, the audio is processed on the device and voice data stays there.

Turn it on

  1. Open WhatsApp and go to Settings.
  2. Tap Chats.
  3. Tap Voice message transcripts and switch it on.
  4. Choose the language you want transcripts in.
  5. Let the language pack download. Do this over Wi-Fi, as WhatsApp requires a download before it can transcribe.

Once it is on, a transcript option appears on received voice notes in your chats. The exact menu wording and position can vary by phone and app version, so if you cannot find it, check you are on the latest WhatsApp release.

What you get

Plain text of what was said, in the language you selected. That is useful for a two-minute note from a supplier or a family member when you are on a train and cannot play audio. It is less useful for anything you need to file, share or act on.

Where the Built-In Transcript Falls Short

The native feature is free and private, but it is narrow. Noterai lists several limits:

  • One language only. It transcribes into the single language chosen in your settings. It does not detect mixed or alternative languages automatically.
  • No structure. No speaker labels, timestamps, summaries or action items.
  • Some audio is out of reach. It cannot transcribe voice notes forwarded as document attachments, or WhatsApp call audio.
  • Language pack required. You need to download it first, over Wi-Fi.

On desktop the picture is worse. Kaption's guide notes that native transcription is widely restricted on WhatsApp Web, and that WhatsApp's documentation says transcripts are only available on certain devices and may not yet be accessible.

If any of those limits apply to you, move to the next method.

Method 2: Free Tools for Voice Notes the Built-In Feature Cannot Handle

When you need a longer file, a different language, or a transcript you can export, share the audio with an outside tool. The steps are similar for most of them.

  1. In WhatsApp, press and hold the voice note.
  2. Choose the share or forward option (wording differs by phone and app version) and save the audio to your phone's files, or send it to the transcription app.
  3. Open the tool in your browser or app and upload the file.
  4. Pick the spoken language if the tool asks, or leave it on automatic detection.
  5. Wait for the transcript, then copy it or export it.

Four free options are worth knowing, and they differ more than their landing pages suggest.

Vox2Text: private, in the browser

Vox2Text is free, needs no registration and transcribes in the browser without uploading your audio. It accepts .opus, .ogg, .mp3, .m4a and .wav files up to 200 MB and 3 hours. Because the processing is local, it suits sensitive voice notes such as client or HR matters.

JustTranscribe: long files, automatic language detection

JustTranscribe is free, asks for no payment card, and supports automatic language detection. It takes WhatsApp's native .opus and .ogg files up to 500 MB and 150 minutes per file. If your voice notes are long or you are unsure which language the sender used, this is a sensible first try.

Dolcenota: combine several notes

Dolcenota lets you merge multiple voice notes into one transcript, up to five on its free tier. It gives 60 free minutes per month and exports to Word, PDF or plain text. This helps when a colleague sends a long thought as six separate clips.

Voice to Text: wide language coverage

Voice to Text uses Whisper AI to transcribe uploaded .ogg files up to 200 MB in over 110 languages, and deletes the processed audio immediately after completion. Broad language coverage does not mean equal quality in every language, so test it on a real voice note before relying on it.

Method 3: Transcribing WhatsApp Voice Notes on a Computer

On a computer, the reliable route is to download the audio and use a browser tool, because native transcripts on WhatsApp Web are restricted.

  1. Open the chat in WhatsApp Web or the desktop app.
  2. Download the voice note using the download or save option on the message.
  3. Find the file. It will usually be an .opus or .ogg file rather than an .mp3.
  4. Drag it into a browser tool such as Vox2Text or JustTranscribe.
  5. Copy the transcript into your document or notes.

The file format is where people get stuck. Some older transcription programs and media players cannot open .opus or .ogg. The tools above accept those formats directly, so you can skip conversion. If you do use software that refuses the file, convert it to .mp3 or .wav first. We cover a related problem in our guide to transcribing WAV files for free, and our overview of five ways to transcribe audio to text compares the wider options.

Comparing the Free Options

Choose on three questions: does the audio need to stay on your device, how long is the file, and does it contain more than one language?

OptionWhere it runsLimits (from the tool's own pages)Best for
WhatsApp built-inOn your phoneOne language chosen in settings; no summaries, timestamps or speaker labelsQuick reads of short notes
Vox2TextIn your browser, no upload.opus, .ogg, .mp3, .m4a, .wav; 200 MB and 3 hoursPrivate or sensitive audio
JustTranscribeOnline tool.opus and .ogg; 500 MB and 150 minutes; automatic language detectionLong notes, unknown language
DolcenotaOnline toolUp to 5 notes combined; 60 free minutes a monthSeveral clips in one transcript
Voice to TextOnline tool (Whisper AI).ogg up to 200 MB; 110+ languages; audio deleted after processingLess common languages

For anything you would not want on someone else's server, use the built-in feature or a browser-local tool. For the other tools, read the privacy policy before uploading client conversations. Our post on how to verify that an AI notetaker does not train on your data lists the questions to ask.

Handling Mixed-Language Voice Notes

If a voice note mixes languages, expect errors from any free tool, and especially from the built-in one. WhatsApp's native transcription uses the single language you picked. A message that starts in Burmese and drops in English product names, or opens in English and moves into Yoruba, will not be followed.

Some practical habits help:

  • Match the language to the speaker. If a contact always speaks one language, set that in WhatsApp.
  • Try automatic detection for mixed audio. JustTranscribe offers it, though how well it copes with code-switching depends on the language pair and the audio.
  • Read the output before you act on it. Names, numbers, amounts and dates are the first things to go wrong. Check them against the audio.
  • Keep the original clip. If a transcript will inform a payment, contract or customer decision, store the audio alongside the text.

For Myanmar teams, we explain why this is hard in why Burmese-English code-switching breaks transcription tools. For Nigerian teams, voice note to text in Nigerian English compares six options.

Fixing Common Problems

Most failures come down to the app version, the device, the file format or the file size.

The setting is missing

Update WhatsApp, restart it and look again under Settings > Chats. Transcripts are only available on certain devices, so if the option still does not appear, your handset may not support it yet. Use an external tool instead.

The transcript will not generate

The built-in feature needs its language pack, which must be downloaded over Wi-Fi first. Check you have a connection and enough free storage on your phone. Also confirm the audio is a real voice note: files forwarded as document attachments and call audio are not supported.

The file will not open

That is usually the .opus or .ogg format. Upload it to a tool that accepts those formats (Vox2Text, JustTranscribe and Voice to Text all list them), or convert it to .mp3 or .wav.

The upload is rejected

Check the limits. Vox2Text allows 200 MB and 3 hours, JustTranscribe 500 MB and 150 minutes, Voice to Text 200 MB. A single voice note is unlikely to hit those, but a recorded call or a combined export might.

The text is wrong

Check the language setting first. Then check whether the clip is noisy or mixes languages. If it does, a different tool with automatic detection may do better, but plan to proofread.

Where Loka Note Fits

Loka Note is not built specifically for WhatsApp, so it is not the first stop for a one-off two-minute clip. It fits when voice notes turn into work: a long briefing from a client, a field update in mixed Burmese and English, or a stack of recordings that need to become decisions and action items.

You can export the voice note and upload it as an audio file. Loka Note transcribes with automatic language detection, built Burmese-first, and handles mixed-language speech such as Burmese-English code-switching. It also supports English, Thai, Vietnamese, Chinese, Yoruba and Hausa. It then produces a structured summary with a TL;DR, decisions, action items and open questions, which is the part the built-in WhatsApp feature does not provide. Ask Loka lets you query past meetings in your own language.

There are no plan tiers. You pay as you go, from $1.99 for 60 minutes, with top-ups valid for six months, or $19.99 a month for Unlimited. Customer audio and transcripts are never used to train AI models, and you can delete any recording at any time. Details are on the security page. Frequently asked questions

How do I turn on WhatsApp's built-in voice message transcripts?

Open WhatsApp and go to Settings > Chats > Voice message transcripts, then switch it on and choose your language. WhatsApp will ask you to download a language pack, which should be done over Wi-Fi. If you do not see the option, update the app first, as the feature is not available on every device.

Can you transcribe WhatsApp voice notes on WhatsApp Web for free?

Native transcription is widely restricted on desktop, and WhatsApp's own documentation says transcripts are only available on certain devices. The workaround is to download the voice note and upload it to a free browser tool such as Vox2Text or JustTranscribe, both of which accept WhatsApp's .opus and .ogg files.

Why is voice message transcription not showing in my WhatsApp settings?

The most common reasons are an out-of-date app or a device that does not yet support the feature. Update WhatsApp, restart it, and check Settings > Chats again. If it still does not appear, use a free external tool and upload the audio file instead.

Can WhatsApp transcribe voice notes in more than one language automatically?

No. The built-in feature transcribes into the single language you select in settings and does not detect mixed or alternative languages on its own. For bilingual voice notes, such as Burmese-English or Yoruba-English, use a tool with automatic language detection and check the output by hand.

How do I convert a WhatsApp .opus voice note to text?

Export the voice note from the chat, then upload it to a tool that accepts .opus or .ogg directly, such as Vox2Text or JustTranscribe. This avoids a separate conversion step. If your software refuses the file, convert it to .mp3 or .wav first.
