Pay as you go audio transcription is usually cheaper than a subscription if you transcribe less than roughly 5 to 19 hours a month, depending on the tool. Rates among the tools we compared run from about $0.50 to $4 per hour, and the real differences are in minimum fees, credit expiry and language support.

Prices below are what each vendor listed when we checked. Confirm them on the vendor's site before you pay.

When pay as you go audio transcription beats a subscription

A monthly plan only wins if you use enough of it every month. Otter.ai Pro is listed at $16.99 a month and Notta Pro at $14.99 a month, according to ScribeFlow's comparison page. That is $203.88 and $179.88 a year, whether you transcribe ten hours or none.

Here is where a per-hour tool stops being cheaper than Otter at $16.99:

If you transcribe a handful of interviews a quarter, a subscription is mostly paying for months you do not use. If you record several hours every week, a subscription may come out ahead.

This math covers transcription cost only. Subscriptions bundle other things, such as meeting-bot integrations and collaboration features, and we have not compared their monthly minute limits here. If you need those, the comparison changes.

How pay as you go audio transcription works

You pay for the audio you submit, either by the minute as you go or by buying a pack of minutes in advance. Both avoid a recurring charge, but they behave differently.

Per-minute or per-hour billing

You add a balance or pay per file, and the tool deducts the audio length. convert.express charges €0.02 per minute. Lessrec charges a flat $0.05 per minute. TranscribeBee charges $2 per hour. The rate is the same whether you buy a little or a lot, so this model suits unpredictable workloads.

Prepaid packs

You buy minutes or hours up front, usually at a lower rate for larger packs. Hushscript lists 100 hours for $49.99, about $0.50 per hour. Speecho sells credits instead: $5 buys 2,400 credits, roughly 4 hours of audio. Pepys sells pay-once minute packs. Packs lower your rate but tie up cash, and some expire.

If you only need transcription once or twice a quarter, a flat per-minute rate is usually safer. If you have a known project, such as 40 interviews, a pack can cut the cost.

A few details behind the table:

  • ScribeFlow is the cheapest single-rate option on the list at $0.90 per hour.
  • convert.express lets you pick between Whisper, MAI-Transcribe 2 and Gemini 3.5 Transcribe, which is unusual for a low-cost tool.
  • TranscribeBee automatically refunds failed jobs and deletes files after processing.
  • Speecho also sells live interpretation, charged at 40 to 80 credits per minute. That is far more than transcription, so do not assume the $5 top-up stretches the same way for interpretation.
  • DataTranscribe runs on Whisper large-v3.

Fine print: minimums, expiry and privacy

The advertised hourly rate rarely tells you the full cost. Three terms change the math: minimum charges, expiry and data retention.

Minimum charges

Minimums can matter more than the rate if your files are short.

  • TranscribeBee's $2 minimum per file means a 10-minute clip costs $2, versus about $0.33 at its hourly rate. Ten 5-minute clips cost $20 there. On ScribeFlow, the same 50 minutes cost about $0.75.
  • convert.express requires at least €0.50 per transaction, which is about 25 minutes of audio at €0.02 per minute. That is a small commitment.
  • PlainScribe requires a $10 minimum top-up, which covers 2.5 hours at $4 per hour. That is a bigger commitment, though the first transcript can be up to 2 hours free.

If your audio comes as many short voice notes, avoid per-file minimums. If it comes as a few long interviews, they barely matter.

Credit expiry

Expiry decides whether leftover minutes are an asset or a loss. Lessrec, DataTranscribe and Pepys say purchased minutes never expire. PlainScribe credits expire after one year. Hushscript minutes stay valid for 12 months from any completed transcription or minute purchase, so using the account resets the clock.

For vendors where we could not confirm expiry, ask before buying a large pack. Keep a small top-up as your default if you cannot get an answer.

Data retention

Cheap tools differ on what they keep. TranscribeBee deletes files automatically after processing. PlainScribe auto-deletes transcripts after 30 days, so export what you need. Languages, speaker labels and summaries

Most cheap tools run a general-purpose speech model, and quality varies a lot by language and accent. Only a couple of the vendors say anything about language coverage, so test with your own audio.

What we could confirm:

  • Pepys supports 99+ auto-detected languages with no monthly usage caps.
  • DataTranscribe uses Whisper large-v3.
  • convert.express lets you choose between three models, so you can run the same file through each and compare.

What we could not confirm from the pricing pages: speaker labels, AI summaries, or how each tool handles regional dialects and mixed-language speech. Do not assume a low per-minute rate includes them. Run a free sample first, using a file with overlapping speakers or a language switch. Cost at 5, 20 and 100 hours

At 5 hours, almost any tool beats a monthly plan. At 20 hours, the cheapest per-hour tools still win. At 100 hours, a large prepaid pack is far cheaper than anything else here.

Two cautions on reading this. First, one month of a subscription is not comparable to 100 hours unless the plan includes that many minutes, and we have not verified the Otter or Notta allowances. Second, the Hushscript pack only makes sense if you will actually use 100 hours within its 12-month window.

How to choose a no-lock-in tool

Pick on your usage pattern first, then on the fine print. Work through these steps:

  1. Estimate your yearly hours. Add up the audio you transcribed over the last 6 to 12 months. If it is under about 60 hours a year, a per-hour tool will almost certainly cost less than a subscription.
  2. Check your file length. Many short clips make per-file minimums expensive. Few long files make them irrelevant.
  3. Decide how much cash to tie up. If you do not want to commit, choose a flat per-minute tool such as Lessrec or ScribeFlow. If you have a defined project, a pack lowers the rate.
  4. Check expiry before buying a pack. Never-expiring credits suit irregular use. Twelve-month expiry suits a project you will finish this year.
  5. Test with your own audio. Use the free minutes at convert.express, Lessrec or DataTranscribe, or the first-transcript allowance at PlainScribe. Pick audio with noise, accents or language mixing, not a clean sample.
  6. Check what comes with the transcript. Confirm speaker labels, export formats and retention before you pay. A cheaper rate is not cheaper if you spend an hour fixing the output by hand.
