Otter vs Fireflies mostly comes down to what you need the tool to do. Otter is built around live capture during the meeting, including real-time transcription and slide capture. Fireflies is built around what happens afterward: unlimited storage on paid plans, conversation intelligence and native CRM sync. If your team speaks mostly English and lives in Salesforce or HubSpot, Fireflies is usually the better fit. If you want live notes and are comfortable with Otter's data policy, Otter is fine. If your meetings mix Burmese, Thai, Hausa or other languages, test both before paying for either.

Neither tool is wrong. They are built for different jobs, and the cost of picking the wrong one usually shows up three months in, when the CRM data is missing or legal asks about training.

Pricing and free tier: minutes, seats and storage

Fireflies is slightly more expensive per seat at the Pro level, but Otter's Business plan has a seat minimum that can change the math for small teams.

The seat-minimum trap

Otter Business requires at least five seats at checkout. A team of three that wants the Business feature set cannot buy it for three people. At $19.99 per user per month, five seats is roughly $100 a month, billed against a team that may only need three.

Fireflies prices per seat, so a three-person team pays for three. At the Business tier, Fireflies is also $0.99 cheaper per seat than Otter. If you are a small team, this matters more than the headline Pro price.

Free tiers are shaped differently

On the free tier, Otter caps transcription at 300 minutes per month and 30 minutes per meeting. Fireflies offers unlimited transcription on free, but with an 800-minute storage cap.

A 30-minute per-meeting limit is the one that bites. Anyone running hour-long calls will hit it mid-meeting. The Fireflies cap is about how much you can keep, not how much you can transcribe, so it fits people who process often and archive little.

Language support: what the lists don't tell you

Fireflies lists far more languages than Otter, but a list is not a test result. Otter officially lists English, French, Spanish and Japanese, while Fireflies is described as supporting more than 100 languages on paid plans. Remember that this comparison comes from Otter, so read the framing with that in mind.

For a team in Yangon, Bangkok, Lagos or Kano, the number of languages is the wrong thing to count. Three questions matter more:

  • Is your language on the list at all, and on which plan? A feature available "on paid plans" is not available on the free tier you are using to evaluate it.
  • How does it handle mixed speech? Many teams switch languages mid-sentence, such as Burmese with English business terms or Nigerian English with Yoruba or Hausa phrases. A model trained on clean single-language audio can lose the thread at each switch.
  • How does it handle accents? English with a regional accent is still English on paper, and still a problem in practice.

If your team is mostly English-speaking with occasional French, Spanish or Japanese, Otter's short list is enough. If you need a language outside that list, Fireflies has a better chance, but you still need to test it.

Workflow and CRM: live capture versus a hub

Fireflies fits teams whose notes need to land in other systems. Otter fits teams who want to follow along as the meeting happens.

Where Otter is stronger

Otter provides real-time transcription as words are spoken, while Fireflies processes audio primarily after the call. That matters when someone joins late and wants to catch up, or when you want to check a number someone just said.

Otter also includes automated slide capture during screen shares, embedding the presentation in the transcript timeline. For training sessions, webinars and client presentations, seeing the slide next to the words is useful.

Where Fireflies is stronger

Fireflies' Business plan includes native CRM sync, conversation intelligence and video recording. For a sales manager who wants call notes to appear against a deal in Salesforce or HubSpot without copying them over, that is the main reason to choose it.

Otter does offer sales features, but BANT/MEDDIC extraction and custom Salesforce Opportunity field mapping sit behind its custom Enterprise plan. If your sales process depends on structured fields, expect a sales conversation and a custom quote with Otter rather than a self-serve checkout.

In-person meetings

Otter's live transcription suggests it suits in-room use better, and Fireflies' emphasis on post-call processing suggests it suits virtual calls better. We have not verified in-person capture for either tool, and whether a bot joins matters for rooms without a video call. Check each product's mobile app and settings before relying on it. Privacy and AI training: who trains on your audio?

According to the Context Rankings comparison, Fireflies guarantees that customer meeting data is not used to train its AI models, while Otter's default policy includes training on de-identified customer audio and transcripts.

De-identified is not the same as private. For a law firm, a clinic, a bank or a company under a client NDA, "we strip identifying details and train on it" may be a hard no, regardless of how good the product is. Check three things before you deploy either tool:

  1. What the current terms say about training, since the policy may have changed since the August 2026 comparison.
  2. Whether an opt-out exists on the plan you are buying, and who in your company can set it.
  3. How long recordings and transcripts are retained, and whether you can delete them.

If your clients or regulators ask where meeting audio goes, get the answer in writing. A vendor's marketing page is not a contract.

How to test both on your own meetings

A one-week test on your real recordings tells you more than any comparison, including this one. Use this procedure:

  1. Pick three recordings that represent your actual work: one clean English call, one with accents or crosstalk, and one with mixed languages if that is your reality.
  2. Run each through both tools on a free plan or trial. Note any plan limits you hit, such as the 30-minute cap per meeting on Otter's free tier.
  3. Check the transcripts against the audio for names, numbers and the places where speakers switch language. Count errors in a five-minute sample, not an overall impression.
  4. Review the action items. Ask the person who owns each item whether the tool captured it correctly.
  5. If CRM is the goal, push one meeting into your CRM and check what arrives. Confirm which plan that feature needs.
  6. Read the data-use terms for the plan you would actually buy, not the free one.
